Define what a booking means
Specify the resource being reserved: a staff member, table, room, venue or service slot. Define duration, buffers, time zones and approval rules. A simple enquiry form can be appropriate when staff must review every request.
Scope the guest and staff journeys
- Service or resource selection and availability presentation.
- Request, confirmation and cancellation states.
- Staff review, blocked dates and operating-hour controls.
- Calendar connections, reminders or payment links when included in scope.
Handle concurrent requests and changes
Two visitors may request the same slot. A confirmed-booking workflow needs server-side availability checks and a clear hold or confirmation policy. Reschedules, cancellations and external calendar changes also need defined behavior and notifications.
Use existing booking tools where suitable
If an existing provider meets the requirement, a configured link or integration may be the simplest approach. A custom system is discussed when a specific workflow cannot be met. Provider fees, account ownership, reminder delivery and any payment flow are agreed separately.

Can we start with requests rather than confirmed bookings?
Yes. A request-and-approval flow can suit a business that wants staff to confirm every appointment or reservation.
Can our existing calendar be used?
We review the provider, account access and supported API or booking links. Integration behavior and third-party charges are confirmed during scope.
